One-to-one Notes: A Working Memory, Not a Shadow Personnel File
A manager toolkit for deciding what to record, omit, share and delete—with employee privacy designed in.

Start with purpose
Record only what supports work follow-through: a decision, commitment, date, and an obstacle the employee agreed to revisit. Do not turn notes into personality labels or rumour logs. This is professional practice design, not a universal legal rule.
Separate performance from care
When an employee seeks health-related support, record the agreed work action—not medical detail. Route sensitive matters through the approved HR channel with restricted access. A manager notebook is not the place for diagnoses or speculation.
Make access and retention explicit
Use the approved company tool, not a personal app. Decide who can read, what happens when the manager moves, and when notes are reviewed and deleted. NIST and ICO guidance support minimisation, purpose clarity and lifecycle control; legal duties still vary by jurisdiction.
Use a four-line template
Use: 1) topic or decision, 2) each party’s commitment, 3) next date, 4) whether anything belongs in an official record. Confirm the summary with the employee before closing. If a line has no clear purpose, leave it out.
Verification scope: the US NIST Privacy Framework is voluntary risk guidance, while the ICO source reflects UK data-protection duties. Both were checked on 20 August 2026; neither replaces local law or approved company policy.
